Information supplied in an enquiry or booking

We use the details needed to understand your request and arrange the service: your name, telephone number or email, property address and postcode, the problem described, relevant photographs and appointment communications. Access instructions can include the person authorised to admit a provider and practical requirements at the premises. Information received from the appointed provider can include findings and updates needed to manage your booking or respond to a concern.

Limit what you send to the purpose of the enquiry. A photograph should show the finding and its position without unrelated people, private documents or other households’ details in the background. You do not need to give a password or send full card details by email. If a landlord or manager is involved, identify their relevant role and contact rather than forwarding unrelated tenancy records. Tell us when a detail is uncertain so an assumption is not recorded as an established finding.

Why booking information is used

We process enquiry details to answer your request and take the steps you ask for before a booking. The lawful basis for those steps is taking action at your request before a contract. Information needed to administer an accepted arrangement is processed for the performance of the relevant agreement. Billing records and disclosures required by law are processed to comply with legal obligations.

Our legitimate interests cover maintaining secure systems, preventing misuse and keeping proportionate records needed to investigate complaints or establish and defend claims. Those interests do not override your rights, and unnecessary information should not be retained simply because it was supplied. Optional marketing based on consent requires a separate choice; making an enquiry or accepting website terms is not consent to optional marketing. Where consent is used, you can withdraw it by emailing us. Withdrawal does not affect processing already carried out lawfully before it was withdrawn.

Sharing connected with the requested service

Relevant booking details are shared with the service provider appointed to carry out the requested work. This includes the location, contact, relevant findings and instructions needed for that appointment. The booking confirmation identifies the provider. A provider may also be responsible for its own service records, which are covered by its applicable privacy information. Payment processors handle card payments; full card details should be entered only through the payment method supplied for your booking.

Other recipient categories include hosting and technical-support suppliers supporting the information systems, professional advisers where a complaint or claim requires their involvement, and public authorities where disclosure is legally required. Booking information is hosted in Bulgaria, an EU country covered by UK adequacy regulations for international data transfers. Overseas processing must use the applicable lawful transfer arrangements; supplying an enquiry does not itself waive protection or authorise unrestricted transfers. Contact us for details of a transfer relevant to your record and a copy of applicable safeguards. Send the booking reference rather than sensitive documents when first raising that question.

Website use, cookies and privacy choices

The current public website does not use optional analytics, advertising trackers or third-party live-chat tools. Reading its pages does not require an account. Browser controls can show or remove stored cookies, including cookies left by earlier visits to other versions of a site. Administrative login functions are separate from ordinary public browsing.

Hosting systems may process technical connection information, such as an IP address and request details, for delivery and security. The absence of optional tracking does not mean telephone or email services process no information. Clicking a telephone or email link opens your chosen service, whose handling of information is separate. If optional tracking is introduced later, this notice and the relevant choice will need to reflect it before use. External council and guidance links open websites with their own privacy information.

Storage, accuracy and requests about your information

Retention is determined by the record’s purpose. Enquiry records are kept while the request is being handled and while a related booking or unresolved question requires them. Booking records are retained while needed to administer the service, resolve outstanding complaints and deal with relevant claims. Billing records are kept for the applicable legal accounting requirements. Security records are retained only as needed to investigate or prevent misuse. Information no longer required for these purposes should be deleted or anonymised; there is no single period appropriate to every record.

Tell us promptly if a contact, address or booking detail needs correction. You can request access, correction, deletion or restriction and, where applicable, portability. The availability of a right depends on the processing and its lawful basis. In particular, you can object to processing based on legitimate interests and to direct marketing. A deletion request does not automatically remove a record that must lawfully remain for another purpose.

How to raise a privacy question or concern

Email office@pestxterminators.uk with a subject such as “personal information request”. Identify the enquiry or booking and describe the information or action you are requesting. Include a reference if available. We may need proportionate identity checks to avoid disclosing somebody else’s records, but you should not send identity documents before they are requested. Explain whether your request relates to our booking record or the appointed provider’s service record so it reaches the responsible organisation.

Requests are normally answered within one month; where the law permits extra time, the reason and extension must be explained. If you remain dissatisfied, you can complain to the Information Commissioner’s Office through its complaint service. Making a privacy request is separate from asking for a service review, and you can raise both. Keep copies of the relevant correspondence so the particular issue can be followed without repeating unrelated personal information.

Questions about privacy policy

Who is responsible for enquiry information?

1ST & GREEN LIMITED, company number 13552805, is the controller described here. Contact office@pestxterminators.uk for a request concerning its records.

Does an enquiry sign me up for marketing?

No. An enquiry is not consent to optional marketing. Where marketing uses consent, you can withdraw that consent separately.

Can I request deletion of a booking record?

Yes. Explain the relevant record. Some information may still need to remain for outstanding work, a complaint, a claim or a legal requirement; the reason should be explained.
